Citymoves Dance Agency SCIO is committed to ensuring your privacy is protected. This Privacy Notice explains how we collect information about you and how we process this information. Citymoves takes its obligations with regard to your personal information seriously.

The purpose and legal basis of processing personal data
Citymoves will collect personal information from you via our registration process or booking process for specific purposes under a number of lawful methods of processing.

The information we may request from you either in the office or through our website or booking system includes personal information you choose to provide us in connection with the delivery of dance classes, studio hire or other Citymoves Dance Agency SCIO services: for example; Your name, address and email, date of birth, any specific medical conditions which our dance teachers should be aware of when providing dance related tuition to you. We also request emergency contact information, in the event that you become unwell or sustain an injury during class.
If you wish to pay for your classes, events or merchandise using you bank card on multiple occasions, with your permission, our booking system can store your details in order to make subsequent bookings quicker and easier for you. All systems used are secure and encrypted. In addition, Citymoves sometimes takes photographs or video recordings of classes, shows and events. These images are stored on our own secure network, but with your specified permission, we may include these photos in brochures, or other promotional material for Citymoves events.

E-Newsletter
We use a third-party provider, Mailchimp, to deliver our e-newsletters. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our e-newsletter. For more information, please see Mailchimp’s privacy notice.

Events
We use a third-party provider, BSport, as our customer relations booking system, to manage our classes, studio bookings, customer records, and financial transactions. For more information, please see BSport’s privacy policy.

How do we share and disclose the information to third parties?
We do not sell your Personal Information to anyone under any circumstances.
Under certain circumstances we may be required to disclose your Personal Information in response to valid requests by public authorities such as the Police or security services.

Your personal data rights
Citymoves Dance Agency SCIO will respect all of your data subject rights. Should a request be made for disclosure of data held, we will use best endeavours to:

The Right of Access: at any time, you can ask for a copy of your personal information. Citymoves will respond with whether data is held or not. If data is held then a copy of the information and the required supplement notice will be offered to you.
Right of Rectification: allows you to submit changes to your records and once changes are verified, they will be amended on Citymoves’ records. Similarly, Citymoves will periodically request you to check your data is held accurately.
Right of Erasure: if you request your data to be erased, and there is no other lawful basis to keep your data, then it will be removed.
Right to Data Portability: this is the right to request to copy, move, or transfer your personal data.
Right to object: you have the right to object to our use of your data including where we use it for our legitimate interests.

Retention periods
All personal data collected under contract or legitimate interest will be held for a period of up to 3 years from your last interaction with the business, or it will be removed if no other lawful method of holding your data can be determined, e.g. UK finance law.

Data collected under consent will be used until consent is withdrawn or if it is no longer useful for the purpose for which it was collected. Some data may not be removed if it involves a disproportionate effort. This does not affect your rights as a data subject.

We will keep our privacy notice under regular review and we will place any updates on this webpage. At the start of this privacy notice we will tell you when it was last updated.
